The iHub (Information Hub) is key department ensuring effective information management by providing support to all departments within BGN in understanding the information they hold, managing it efficiently, storing it safely and in compliance with policy and legal obligations.

Key responsibilities include:

  • Be responsible for the production and distribution of BGN PersRep daily in order to head count every eligible individual working in and outside BGN.
  • Handling and processing of personal document of serving personnel who are assigned and detached to/from BGN.
  • Maintain high standard of AF A2026 and receive/despatch as required.
  • Maintain and file the documents generated by Head Quarter BGN and outside BGN with correct file reference both electronically and manually.
  • Processing Nepalese Visa and maintaining the database for serving Personnel and their dependants who have British Passports (under the supervision of i-Hub Supervisor).
  • Maintain Emergency details i.e., Contact number, Passport No, Visa status and their expiry etc of every individual working within BGN along with their dependants and of those that are related to BGN indirectly like Gurkha Welfare Trust, Kadoorie Agricultural Aid Association (KAAA) etc as a part of BGN contingency plan.
  • Update all Married quarters and Hiring details.
  • Be responsible for any IM issues and suggest I Manger as and when required.
  • Providing Administrative support for HQ BGN Officers.
  • Conduct monthly 25% personal document management check.
  • Handle incoming and outgoing information (including emails, letters) and ensure the information complies with the BGN IM policy.
  • Be responsible for the timely Management of BGN Share Drive i.e. deleting old files, saving data which might be useful for future references as per BGN File plan.
  • Handling phone calls and provide necessary information and act as a facilitator to clients who call RAO Det with various reasons.

Required Qualification & Experience

The ideal candidate will have to enjoy working collaboratively with staff at all levels. They will also have good written communication skills, particularly in English and be extremely comfortable with administration and IT, especially MS Office applications. Candidate should ensure their descriptions of their experience and qualifications address these requirements and where relevant with demonstrative examples.

  • Internal candidates: SZ1 for promotion SZ2/E2 for level transfer.
  • External candidates: Nepali Citizen between 18 to 58 years meeting the above requirements.

Benefits & Working Environment:

  • Salary 55,452.00 NPR per month, weekly working hours – 37hrs (Full Time, Shift system, Permanent).
  • Gratuity after completing 3 years’ service.
