CIMMYT is seeking an experienced professional to support the Cereal Systems Initiative for South Asia (www.csisa.org) project funded by the Bill and Melinda Gates Foundation and the US Agency for International Development. CSISA is CIMMYT’s flagship for sustainable intensification in South Asia and incorporates programming across the innovation to impact the continuum in Nepal, Bangladesh, and selected states in India.

Position title: Administrative and Logistics Assistant

Duty station: Surkhet

Reporting to: Nepal Finance & Admin Manager

Major duties and responsibilities

  1. Provide general and administrative support to the CSISA Coordinators and CSISA field offices (Nepalgunj, Dhangadi, Dang, and Surkhet) in coordination with Finance and Admin Analyst based in Nepalgunj.
  2. Coordinate with the CSISA field offices on requisitions and events (trainings, workshops, conferences).
  3. Process requisitions and initiate requisition process in consultation with the Finance & Administration Manager.
  4. Assist in the managing inventory of CSISA field offices including physical verification.
  5. Ensures the full follow-up of consumables, maintaining and managing reasonable stocks.
  6. Organize and lead all logistics related matters for meetings/trainings; including but not limited to project meetings/trainings and travel as required.
  7. Liaise with external vendors, following CIMMYT procurement guidelines, by processing requests for project supplies.
  8. Travel to field activities areas for necessary support and logistic during workshop, seminar, training, and other events
  9. Perform any other tasks and assignments related to the CSISA project(s), as directed by the CSISA Project Team and in coordination with Finance and Admin Analyst based in Nepalgunj.

Required Qualification & Experience

  • Bachelor’s degree or professional qualification requiring 2 or more years’ study.
  • Technical Requirements: Use of computers and minor troubleshooting of IT, MS office applications, drafting minutes and letters, good knowledge of written and verbal English.
  • Fair English skills: read and respond appropriately to correspondence, orally and in writing. Ability to prepare regularly used documents and report without assistance.
  • Service-oriented: frequent contact with people other than immediate colleagues, but mostly within CIMMYT.
  • The candidate must exhibit sense of urgency and commitment to responsibilities and deadlines.
  • Minimum 3 years’ experience preferably in INGO/NGO working environment.
  • The selected candidate must exhibit the following competencies: Critical and Creative thinking, Communication, Teamwork, Client orientation, Problem solving and decision-making, Negotiation and conflict resolution.
